Job Description

Position Summary


Responsible for the daily operations of the asset tagging, data box storage, janitorial supply tracking and ordering of supplies, including warehouse receiving/shipping with inventory cycle control. Completes routine audits monthly, performs data entry of spreadsheets, and provides reporting data. Usage of customer service skills with other company departments/vendors and assisting to the Facilities/Security/Cafeteria co-workers in work requests. Performs basic research, confirmation and follow-up of products received by Credit One. Researches, traces, and matches physical warehouse inventories. Assists in all areas of the department including work order tracking, project tracking, filing, purchase order/invoice processing, and any other administrative support duties as needed. Provides other administrative duties for the Security/Facilities/Cafeteria Department Management as needed.


Summary of Essential Job Functions


  • Maintains calendar events via e-mail; setting appointments, assemble meeting materials, and interacting memos with other departments.
  • Create and maintain department policies and procedures.
  • Maintains inventory by conducting monthly physical counts, reconciling variances, inputting data.
  • Maintains storage area by organizing floor space; adhering to storage design principles.
  • Receives products, supplies and equipment.
  • Contacts carriers for pick-up.
  • Delivers supplies and equipment to departments by receiving and transferring items.
  • Loads and unloads trucks.
  • Installs and repairs signs, fences, and security barriers.
  • Stocks janitorial, cafeteria, and office supplies.
  • Uses 12-foot ladders to reach 14-foot ceilings.
  • Drives company vehicles for Facilities and mail pick up deliveries.
  • Operates forklift equipment as necessary.
  • Observes safe work methods and use safety equipment.
  • Coordinate invoices for signature and maintain department invoice database.
  • Assists in department budget process.
  • Prepares training materials and schedules all department training.
  • Processes check requests, purchase requisitions, and invoices for payment.
  • Handles telephones, typing of correspondence, reports, meeting notes, special projects, weekly time sheets, and supply orders.
  • Schedules all preventative maintenance requirements for copier equipment. Processes all copier work order calls. Maintains all copier/fax machine inventories. Clears copier jams as needed. Tracks all monthly meter readings and maintains copier database.
  • Handles all month end processing of department reports.
  • Creates and maintains various databases for department. Creates forms as needed.
  • Processes all cafeteria daily deposits and sales data for reports.
  • Fills in as cafeteria cashier as needed as backup
  • Performs other duties as assigned.

Job Requirements

Position Requirements

Must have the ability to use a hand truck and pallet jack. Strong verbal and interpersonal skills needed to effectively communicate within employee/customer relationships.

Two years’ experience performing a variety of warehouse functions to include shipping, receiving, inventory control, use of dolly, forklift/order pickers, and stock counts required. 3 years or more of experience in a clerical position preferred. Must have ability to maintain a strict level of confidentiality. Must have excellent communication skills to include listening, verbal, and written communication. Typing speed of 45 wpm or higher required. Proficiency in advanced Outlook, Excel, Word, and PowerPoint required. Proficiency in creating/maintaining Microsoft Excel pivot tables, macros, and Microsoft Access database management required. This position requires the ability to work independently, and with minimal supervision.   Must be willing to work overtime as needed based on demands of the department.

Work in confined or awkward spaces, and be able to work outside in hot, cold, and inclement weather conditions. Must possess the ability to effectively hear and communicate. Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus. Vision must be good enough to read prints, schematics, and numbers.
